Understand what RentWize collects, where data is stored, how verification works, and how to request access or deletion.

Your Data & Privacy

RentWize handles tenancy records that can be sensitive: addresses, evidence, rent history, maintenance issues, communications, billing records, and support requests. The product is designed to minimise unnecessary data collection.

What data RentWize collects

Account and contact data

  • name
  • email address
  • hashed password
  • optional phone number
  • account status and onboarding state
  • subscription status and plan metadata

Tenancy data

  • rental property address
  • lease dates and rent details
  • bond details
  • property manager or landlord contact details
  • condition report notes and photos
  • maintenance requests, repair timers, and updates
  • communication logs and notes
  • bond dispute and tribunal-preparation records

Evidence files

  • photos
  • PDFs
  • notices
  • receipts
  • inspection reports
  • correspondence files
  • other tenancy documents uploaded by you

Do not upload documents that are not needed for your tenancy record. Avoid storing bank statements, passports, licences, or identity documents in the Evidence Vault unless RentWize specifically asks for them through a secure verification flow.

Verification data

Where verification is required, RentWize uses a specialist verification provider. RentWize stores verification status and reference metadata needed to operate the workflow. Raw identity document images should remain with the verification provider rather than being stored as ordinary RentWize evidence files.

Usage, reliability, and support data

RentWize may process technical data to operate and secure the service, including:

  • device and browser information
  • app usage events
  • crash and error reports
  • redacted reliability logs
  • support conversation metadata

Support chat is for product help. Do not send identity documents, bank statements, full evidence bundles, or highly sensitive tenancy files through support chat unless RentWize specifically directs you to a secure upload process.

Where data is stored

RentWize uses Appwrite for backend services, database, authentication, and secure file storage. The product is configured around Australian/Sydney infrastructure and the public API endpoint used by RentWize.

Payments are processed by Stripe. RentWize does not store full card numbers.

RentWize may use the following providers to operate the product:

Internal tools such as Linear or Notion may be used for operations and documentation, but they should not be treated as customer evidence stores.

Data retention

Retention depends on the type of record and the reason it is kept.

If you are involved in a tenancy dispute, consider downloading your own copy of important records before deleting them.

Your privacy choices

You can:

  • access your account information
  • correct inaccurate account or tenancy details
  • delete evidence you no longer need
  • cancel your subscription
  • request a copy of your personal data
  • request account deletion
  • opt out of marketing communications where applicable

Deleting evidence can weaken your own tenancy record. Before deleting files connected to a live dispute, bond claim, insurance matter, tribunal matter, or complaint, consider whether you need an exported copy.

RentWize helps organise records. It does not decide what evidence is legally sufficient, what deadline applies, or what your state or territory tribunal will accept.
