A tribunal or tenancy authority will ask one question before almost anything else: "What did you say, and when did you say it?" The Communications inbox exists so you always have a clear, dated answer.

Every message between you and your landlord or agent — emails, logged phone calls, agreed summaries — is stored in one timeline, linked to your property and your active case.

Forwarding emails into your inbox

When your agent or landlord sends you an email, forward it to your RentWize inbox address. RentWize threads it into the right property and case automatically based on the subject line and email address.

Your personal forwarding address is shown in the Communications section of your dashboard. You can copy it into your email client's contacts so forwarding takes two taps.

Forwarded emails are stored with the original timestamp from the email header — not the time you forwarded them — so the record is accurate even if you forward something a few days later.

Broken promises: automatic detection

Agents and landlords often make promises in writing that they don't keep. RentWize scans incoming messages for language that indicates a commitment — phrases like "we'll have that fixed by Friday" or "we'll follow up with the owner this week".

When a promise is detected, RentWize records the date it was made and the expected resolution date. If nothing follows up on that commitment, the promise is flagged as potentially broken and surfaced on your case timeline with the original message attached.

This gives you clear, timestamped evidence that a commitment was made and not honoured — exactly what you need if the matter escalates.

Logging phone calls and verbal agreements

Not everything happens in writing. When you speak to your agent or landlord on the phone, log an agreed summary immediately afterwards.

Tap Log a conversation in the Communications screen, enter the date, who you spoke to, and a brief summary of what was said or agreed. This creates a timestamped record even though you have no email to forward.

If the other party later denies what was said, your contemporaneous note carries real weight — especially when it's logged at the time of the call, not days later.

Seven-day gap detection

If more than seven days pass with no communication about an open issue, RentWize flags the gap in your timeline and prompts you to follow up. Unreasonable silence from a landlord or agent is itself evidence of delay or neglect, and a flagged gap reminds you to keep the paper trail moving.

You can dismiss a gap flag if the matter has been resolved informally, or act on it by sending a follow-up message directly from the drafts tool.

Linking communications to a case

Every communication is linked to a property by default. When you have an active case, communications can be linked directly to it so the case timeline is complete.

To link a message, open it in the inbox and tap Link to case, then select the relevant case. Linked communications appear in the case timeline in date order alongside your evidence and stage transitions.

Printing for tribunal

If your case reaches tribunal, you can export the full communications timeline as a PDF from the case detail screen. The export includes every message, log entry, and agreed summary in date order, with your property address and case details on the cover page.

Keep your inbox tidy — archive resolved threads so your active communications stay easy to scan.
